KEY RESPONSIBILITIES & JOB REQUIREMENTS
Position is based in Austin, Texas
Will report directly to and work closely with the Director of Business Development and Sales Manager.
Technical Skills: definitely must know MS Excel, MS Word, MS PowerPoint, and MS Outlook. Would be an extra plus if he/she knows Basecamp, Google Drive, Photoshop and Dropbox.
Must be extremely comfortable with managing multiple worksheets in a workbook and filtering XLS files.
MINIMUM 2-3 years of event design-related experience, but will consider someone that has been involved with the meeting planning industry but not directly with program designing.
Discuss and determine proposal strategy with Sales Manager and Director of Business Development.
Manage and produce client proposals. This includes planning and coordinating all arrangements for programs through the various stages prior to turning confirmed events to a Program Manager.
Must have a creative eye and ability to produce concepts aligned to client vision.
Responsible for staying on top of trends and developing unique event concepts & themes.
Identify the best-fit event partners/vendors/venues/activities for client’s group profile, event scope and budget.
Build and strengthen relationships with industry suppliers and other strategic partners.
Work with vendor partners to get best possible rates/discounts & communicate to team best options as well as internal support on pricing strategies.
Deliver creativity at all budget levels.
Determine program costs and profitability utilizing Excel.
Provide quotes & create budgets that support the company and client’s goals & objectives.
Demonstrate the highest level of customer service towards clients, event partners, and colleagues.
Able to work in a collaborative environment and independently.
Must be innovative, inventive and a trend spotter.
Attend occasional networking meetings, including but not limited to MPI, ILEA, NACE, HSMAI, ADMEI and SITE (membership & meeting fees will be covered by RVE).
Stay current on industry trends in destination management and program design.
Must be familiar with Austin, Texas (roads, directions, hotels, restaurants, tours and activities, etc.).
Comfortable and efficient with timely e-mail, phone and in-person communication.
Excellent writing proficiency (i.e. spelling, proper grammar) and communication skills.
Dedication to accuracy.
Able to make decisions based on critical thinking, problem solving, process knowledge, research, surveys, and trend analysis.
Comfortable working on a laptop.
Will work from the main office Monday through Friday unless meeting with clients or working onsite for an event.
Available to work occasional evenings and weekends.
Able to work with little supervision and in a very fast-paced, high-intensity environment.
Interested in working in a start-up type environment.
Conduct all business matters fairly, honestly and ethically and with the utmost professionalism.
Must have an upbeat “Can Do” positive attitude.
